DUTY ROSTER

At Gungahlin Athletics Club we run a weekly duty roster to ensure we can run all our events each week the Roster Duties include:
  • *Track officials - starter, computer recorder and marshal for each track (round, straight, hurdles). 
  • BBQ and canteen helpers
  • *Equipment set-up and pack-up helpers
*Our Gungahlin Event documents give you with detailed procedures on how to perform these roles, volunteers should be familiar with them before attending.

The Roster Duty Descriptions and our Age Group Manager page provide broad information about the volunteer duties. The majority of the Roster Duties do not involve a weekly commitment, you can expect to be rostered on around 4 times per season.  
At the time of registration each family will be asked their preferences for the dates (Roster Group) and Session times that suit best, as well as the duty they'd prefer. When you register you will be given the choice of choosing both the duty AND a group. Each group will be allocated a set number of meets/dates (as outlined below) so you can easily choose the group which fits with your family schedule.

Further instructions are below for what you should do when you are rostered onto a duty and arrive at a meet.

Roster Group A - 18 Oct 2025; 15 Nov 2025; 13 Dec 2025, 7 Feb 2026, 7 Mar 2026

​The roster for each Meet is placed on the Bulletin Board near the program each Saturday.  You'll also receive an email confirming your participation in the lead up to the Saturday you've chosen to participate on. 

If you're still feeling a bit nervous about taking on any of these roles please get in touch with our Duty Roster Coordinator so that we can provide you with some reassurance and help in picking the best role to suit your personal situation. 


If you are unable to attend any of your rostered meets please make sure to advise us ASAP via email​ - our Meets cannot run if we do not have enough helpers.

What to do when you arrive

1/ Sign in on the Volunteers Sign-In sheet set up by the Equipment Shed.
2/ Head to the allocated area for your duty:
  • Equipment Set-up - see a Committee member (black shirt) near the equipment sheds or on the field and ask where help is needed. Read the Volunteer Procedures for Equipment setup give you some guidance on how to perform these roles.for Equipment setup before you arrive so you know what's involved in setup.  You will be helping to set up: long jump, throws, high jump, hurdles, on track equipment and our shade shelters.
    - Leave the computers and track gates/timing equipment to a Committee member to set-up.
    ​- The large shade shelters have specific requirements and can be damaged if you do not follow the instructions.  Do not setup without following the instructions.
  • Canteen/BBQ - head to the Canteen to see what role you can do.
  • Track Assistant - meet at the round track. You will be allocated a role of either Computer Operator, Starter or Marshal. The track folders have all the information on how to run races and you will be shown how to operate the equipment. You will be allocated to one of our 3 tracks (straight, hurdles, round) for the session.  Read the Volunteer Procedures for Running a Race before you arrive so you know what to expect, a Track Manager will be available to assist you with any troubleshooting.
  • Equipment Pack-up -  Read the Volunteer Procedures for Equipment packup before you arrive so you know what's involved in packing down a meet.  A Committee member can assist on the day if you are unsure where to start.  You will be packing up throws equipment, long jump, high jump, hurdles and shade shelters.
    - Leave the computers and track gates/timing equipment to a Committee member to pack-up.
    - The large shade shelters have specific requirements and can be damaged if you do not follow the instructions.  Do not pack up without following the instructions.
